Schedule: 8:30AM – 3:30PM Mon – Fri

Position Summary: Come work in one of the most beautiful gardens in the world! As a Reservations Associate at Ganna Walska Lotusland, you would support members and the public in making tour reservations at Lotusland. You would work under the Reservations Manager to maintain our online ticketing program and respond to communications from members and the public. The right candidate is comfortable learning new software, entering data, and communicating with the public via e-mail and phone. You would also be cross-trained to support Reception and Kiosk.

The Reservations Associate is a motivated self-starter who is capable of educating guests on our gardens and policies, as well as membership, and event promotion. By creating a pleasant experience for our guests, the Reservations Associate will ensure their desire to return and engage more deeply in the mission of Lotusland. The right person will be comfortable with online data management, with great attention to detail, and a proud ambassador of the Ganna Walska Lotusland brand and will enjoy the opportunity to work in an office within the beautiful garden setting of Lotusland.

Specific Responsibilities:

  • Maintains detailed reservation data, payments, correspondence and tracking in online ticketing programs (Salesforce, Tripleseat).
  • Maintains, audits, and files daily reservation records including daily processing of credit card charges; additionally, troubleshoot guest’s online ticketing issues & identify discrepancies.
  • Regularly run custom queries from database and manipulate data in Microsoft Excel to provide visitation reports as effective visitation management and tracking tools. Continually provide suggestions of improvement to processes and reporting.
  • Exceeds customer’s expectations by delivering exceptional service & technical assistance in a professional knowledgeable and courteous manner.
  • Interacts with guests to provide accurate information, answer questions and actively support their interaction with Lotusland.
  • Answers telephones, emails, and letters and web questions in a timely manner.
  • Proactively solves any concern or complaint to provide a solution.
  • Maintains sensitivity and confidentiality regarding guest information.
  • Communicates directly with Visitor Services department and Kiosk staff to ensure an efficient flow of information.
  • Actively seeks and suggests improvements for the Reservation process.
  • Organizes and maintains call sheet inventory.
  • Perform general administrative support as needed for the Visitor Services department
    and fill-in temporarily for other team members in the department.
  • Confident, self-motivated and demonstrate a passionate commitment to Lotusland.
  • Attend training sessions and team meetings as required and to be involved and contribute with these.

Essential Requirements (Knowledge, Skills, and Abilities):

  • The successful candidate must be computer literate with a strong working knowledge of Microsoft Office Suite applications, specifically manipulating data in Excel.
  • Experience with SALESFORCE preferred skill requirement (analyze & run reports in Salesforce).
  • Experience with any ticketing or reservations system is desired.
  • Willingness to learn new programs is essential.
  • CONFIDENTIAL handle confidential and sensitive client information.
  • CALM & FRIENDLY when busy: handle periods of high call and e-mail volume.
  • EXPERIENCED exceptional customer service skills,
  • ORGANIZED superior organization skill and attention to detail.
  • SHARED WORK SPACE: work in a shared workspace in a cooperative, friendly and courteous manner with staff and volunteers.
  • CA DL: Must have a valid driver’s license and reliable transportation and pass a background check.
  • COMMUNICATIONS Highly proficient in the English language in person and by phone.

Education and Experience:

  • High School diploma or GED
  • 3 years Customer Service Training or equivalent experience

Work Environment:

  • General office environment within the garden setting of Lotusland.
  • Frequent work with computers (repetitive movement – typing).
  • Frequent standing, sitting, extended walking, climbing stairs and bending with occasional lifting of light to moderately heavy loads (25 pounds).
  • Proof of COVID vaccination required.
